Job Description

This is the primary administrative support role in the Corporate Office, responsible for performing a wide variety of tasks from providing administrative support to the Executive Team to greeting all visitors and answering incoming calls. The role also provides support for the HR department and is responsible for organizing and executing large meetings and office events. This position requires skillful and tactful thought in meeting the challenges of varying situations while still maintaining detail orientation and strict confidentiality.

This position requires great organizational skills, excellent communication skills, complete professionalism, trustworthiness and great attention to detail due to the nature of the departments and executives it supports.

Primary Duties and Responsibilities

  • Support Executive Team through scheduling and maintaining calendars, booking and managing travel arrangements and preparing expense reports.
  • Greet visitors, answers telephone, responds to questions or request and conveys messages as required
  • Ensures the effective operations of office functions, including maintenance of supplies and equipment.
  • Sorts incoming mail and distributes to appropriate employee while printing postage.
  • Organize, execute and serve as main point of contact for office event planning and large departmental meetings.
  • Receive packages and deliveries at the Front Desk.
  • Assist with package deliveries and shipments including preparing Fed Ex labels.
  • Maintain a ready supply of forms and envelops.
  • Assist HR and Legal Department in confidential administrative duties
  • Acts as the facilities contact and assists in the facilities management.
  • Perform other related duties as assigned
    • High School diploma; BA/BS degree preferred
    • 3-5 years required in clerical support related area supporting management level positions
      Skills and Competencies:
      • Communications Written and Oral: Communicates clearly, tactfully and succinctly in a variety of communication mediums, settings, and styles; listens and gets clarification; Responds well to questions; Edits work for spelling and grammar; presents numerical data effectively.

      • Judgment - Exhibits sound and accurate judgment; includes appropriate people in decision-making process
      • Organizational effectiveness Highly organized; able to multi-task and prioritize; adaptable
      • Time Management Prioritize complex tasks with an understanding of operational excellence and achievable goals
        Equipment and Software:
        • Strong Knowledge of Microsoft Word, Excel, PowerPoint and Outlook.
          Additional Information
          • Physical: Typing and manual dexterity required.
          • Lifting of up to 25lbs.
          • Position sits, speaks on the phone and computer work-70% of time.
          • 30% of the time must walk, reach, and stand.
          • Sensory: Visual, speaking, and touch is essential.
          • Mental/Reasoning: Excellent oral and written communication skills.
          • Good organizational skills with strong discipline and work ethic and be dependable.
          • Ability to multitask and work under pressure while managing obstacles such as time constraints and prioritize workload appropriately.
          • Must work well with others under little supervision.
          • Confidentiality is critical.
